Direct Room Booking Policy
A non-refundable deposit is required to confirm the booking. The deposit amount will vary depending on the room selected. No booking will be confirmed until the deposit has been received.Reservation & Payment Terms
- Booking Guarantee: A non-refundable deposit is required to secure your booking. The deposit amount is determined by the selected room category. Your reservation will remain provisional until this payment is received.
- Intermediate Payment: 50% of the total reservation cost is due four (4) weeks before your arrival date. This payment is strictly non-refundable.
- Final Confirmation: Final guest numbers, menu selections, and timings must be confirmed two (2) weeks before arrival.
- Guaranteed Minimum: The numbers confirmed at the two-week stage will be treated as the guaranteed minimum attendance for billing purposes. No reductions in charges will be made for fewer guests after this date.
Final Settlement & On-Site Charges
- Late Increases: Any increases to guest numbers after the final confirmation deadline are subject to availability and will be invoiced at the prevailing rate.
- No-Shows: Any guests failing to arrive (no-shows) will be charged at the full rate based on the guaranteed minimum numbers. These charges are non-waivable and payable upon departure.
- Final Balance: The remaining balance of the total booking cost is payable in full upon arrival.
- Incidental Charges: Any additional costs incurred during the stay (including, but not limited to, additional guests, food, beverages, or supplementary services) must be settled in full at the time of purchase or before departure.
- Single Point of Payment: To ensure administrative accuracy, full payment must be settled by one individual. We are unable to facilitate split payments
Payment
We are a cashless hotel.The hotel does not accept cash, unless you are giving staff tips.
All prices include VAT when applicable.

Cancellation Policy
- 14+ days before check-in: Full refund
- 7–13 days before check-in: 50% refund
- Less than 7 days before check-in: No refund
Force Majeure & Weather
- Events cancelled due to severe weather, government restrictions, or circumstances beyond either party’s control will be reviewed on a case-by-case basis
- Where possible, bookings will be postponed rather than refunded
Check-In & Check-Out
Check-InRooms are guaranteed to be ready by 4:00 pm. You are more than welcome to arrive earlier; if your room isn't quite ready, we are happy to arrange luggage storage for you.
Check-Out
Standard check-out time is: 10:00am
Additional Information
- Late Check-Out: May be available upon request. Please enquire with Reception regarding availability.
- Fees: Late Check-Out: £30 per hour.
- Lost Room Card: £20 replacement charge.
- Cots: are available free of charge.
- Additional Z beds: are available in certain rooms, depending on the size of the room.
Parking
- The car park is available for residents and visitors on a first-come, first-served basis.
- Guests are kindly asked to observe speed limits when driving on the premises.
- Vehicles must be registered at the front desk upon check-in by providing the license plate number.
- The Open Arms accepts no liability for loss, theft or damage to vehicles or their contents while parked on the premises. Vehicles and contents are left at the owner's risk.
Dog Policy
- Dog-friendly rooms are available at an additional cost of £20 per dog, per night.
- Dogs are permitted in Rooms 21-24 (Garden Rooms)
- Dogs are only allowed in the Lounge and the glass restaurant.

Smoking & Vaping Policy
We operate a strict no-smoking and no-vaping policy throughout the premises, including all guest bedrooms and public areas.Please be advised that a £250 deep-cleaning fee will be charged to any guest found smoking or vaping in their room. This ensures the environment remains fresh and comfortable for all future arrivals
CCTV
CCTV is active across the premises for the purpose of guest and vehicle security. Use of our facilities is at your own risk; the hotel accepts no liability for loss or damage to personal property.Damage & Hotel Property
You will be asked to cover damages made and please note that a pre-authorisation will be taken on your card at check-in to cover incidentals during your stay. This amount will be released following check-out, subject to any applicable charges.Lost Property
Guests are responsible for their personal belongings; The Open Arms accepts no liability for lost or stolen items.Found property is held for three months and can be:
- Collected in person from Reception.
- Returned by post at the guest's expense.
Restaurant & Lounge Policy
Dining
Dining and drinking options are available in our Restaurant/Lounge for breakfast, lunch and dinner. All-day dining is available. All prices include VAT and are subject to a 10% payment charge. Online menus may vary to hotel menus.For tables of eight guests or more, a non-refundable deposit of £10 per person is required to secure your reservation. This deposit will be credited towards your final bill on the evening of your dining experience
Children
Children are welcome in our Restaurant/Lounge until 9:00pm each evening.For the comfort and safety of all guests, children must remain supervised by an adult at all times.
Service Charge
A discretionary 10% service charge will be added to your final bill for dining reservations.Events & Private Hire Policy
- To secure your booking, a non-refundable deposit of £100 is required, which will be applied toward the room hire charge.
- The hire period includes one (1) hour prior to the event for set-up and decoration and three and a half (3.5) hours for the event. Any extension to this hire period is subject to availability and will incur an additional charge of £100 per hour, unless otherwise agreed in writing by the hotel.

- Marquee: £100
- Library: £50
- Heather Room: £25
- Mini Lounge: £25
Pre-Orders & Table Plans
- Final guest numbers, meal selections, and event timings must be confirmed four (4) weeks prior to the event
- A table plan must also be provided in advance
Cancellation Policy
- The deposit is non-refundable
- If the event is cancelled within four (4) weeks of the event date, the 50% payment is retained
- All cancellations must be made in writing
- All prices include VAT and are subject to a 10% service charge
- Deposit payment is required within 72 hours of the invoice being issued
- The event date will only be secured once the deposit payment has been received
- If the deposit is not paid within 72 hours, the booking will not be confirmed and the date may be released
Amendments
- Any changes to guest numbers, timings, or event details must be confirmed in writing in advance and may affect the final balance
Postponements
- Postponements are subject to availability and at the hotel's discretion
Supplier & Third-Party Costs
- Any non-recoverable third-party costs already incurred (including venues, entertainers, equipment hire, catering, and travel) are payable in full regardless of cancellation timing
Golf Tee Time Policy
Full payment is required at the time of booking to secure your reservation. All bookings are strictly non-refundable and non-transferable.Modern Slavery Statement
